GWF is looking for a Special Events & Tradeshows Assistant to support all administrative duties for fundraising events as well as support for the Office Manager. This position reports to the Sportsmen’s Program Manager.

Organization: Georgia Wildlife Federation (GWF)
Location: Covington, GA
Schedule: Full-time | Monday–Friday, 8:00 AM–5:00 PM
Some evening and weekend work required

Compensation:

  • Salary: Starting at $30,000, commensurate with experience

Responsibilities and Duties
Special Event Attendee and Tradeshow Vendor contact
  • Create and email contracts and invoices
  • Input and maintain records/payments in the database
Attend all special events (dinner/auctions, clay shoot, etc.) and tradeshows
  • Maintain materials required for each tradeshow/event (supply totes)
  • Tradeshows – register all vendors, obtain payments
  • After tradeshow – input/update all vendor payments
  • Special Events – process payments for attendees and auction related sales
  • After event – input/update all payments. Process attendees, i.e., enter into database
  • Auctions – prepare silent and verbal auction sheets, table cards and program
  • Attend all other events as required (clay shoots, etc.)
Membership/Memorials
  • Input and maintain Georgia Wildlife Federation member records/payments
  • Create list, print and mail membership renewals
  • Create and mail Thank You letters
  • Create and mail memorial Thank You notes
Support Office Manager
  • Process PayPal transactions/prepare spreadsheet for accountant.
  • Assist with paperwork and accounting following tradeshows and special events
  • Order supplies, business cards, printed stationary, name plates, etc. for GWF and volunteers
General Office Duties
  • Assist with phone coverage
  • Assist with Meetings/rental events (serving food, etc.)
  • Other duties as assigned
Qualifications
  • Education Level: High School Degree or higher
  • Experience: General office administration
Specific Skills
  • Data entry
  • Microsoft Office (Word, Excel, Mail Merge, Outlook, and Publisher)
  • Customer Resource Management (CRM) – The Databank
  • Credit card payment processing
  • Basic knowledge of accounting
Personal Characteristics
  • Multi-tasker and self-starter
  • Deadline, goal, and detail-oriented
  • Ability to work independently as well as be a team player
